Privacy Policy

1. Introduction

This Privacy Policy explains how IT-Charlotte ("IT-Charlotte," "we," "us," or "our") collects, uses, shares, and protects information when you visit it-charlotte.com or interact with our forms, scheduling links, and lead-capture systems (the "Site"). IT-Charlotte is a North Carolina limited liability company headquartered in Monroe, NC, providing managed IT services to small businesses across the Charlotte metropolitan area.

This policy applies to information collected through the Site only. Information you provide to us under a signed Managed Services Agreement (MSA) is governed by that agreement and any related data-processing terms, not by this policy.

2. Information We Collect

2.1 Information you provide

  • Contact form data: name, email address, phone number, company name, and the content of your message.
  • Pricing quiz data: estimated employee count, selected service tier, server and network equipment counts, and the contact details you submit when requesting an estimate.
  • Discovery-call data: scheduling information you submit through Cal.com, including name, email, time selection, and any notes you add.
  • Email correspondence: any information you include in messages sent to our published email addresses.

2.2 Information collected automatically

When you visit the Site, our servers and supporting infrastructure may automatically log:

  • IP address and the approximate geographic region derived from it
  • Browser type and version, operating system, and device class
  • Referring URL, pages visited, and timestamps
  • Request and response metadata used for security, rate limiting, and troubleshooting

2.3 Cookies and similar technologies

By default, the Site uses only functional storage required for the Site to operate — for example, remembering your cookie consent choice, your interface settings, and form state. Analytics, advertising, and tracking cookies are disabled until you opt in through the cookie consent banner or the "Cookie Preferences" link in the footer. We honor the Global Privacy Control (GPC) and Do Not Track (DNT) browser signals as opt-out indications for analytics where applicable.

3. How We Use Information

We use the information we collect to:

  • Respond to your inquiries and prepare non-binding estimates.
  • Schedule and conduct discovery calls and follow-up communication.
  • Operate, secure, monitor, troubleshoot, and improve the Site.
  • Track leads and the status of estimate requests internally.
  • Conduct internal analytics, reporting, and business planning.
  • Comply with legal obligations and protect our rights, our users, and our systems.

We do not use information collected through the Site for automated decision-making that produces legal or similarly significant effects.

4. How We Share Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only with the following categories of recipients, and only as needed for the purposes described above:

  • Email delivery provider (Resend): to send internal lead notifications and confirmation emails.
  • Scheduling provider (Cal.com): to coordinate discovery calls and reminders.
  • Analytics provider (Google Analytics): to understand Site usage if you opt in to analytics cookies.
  • Hosting and infrastructure providers: to host the Site, store backups, deliver content, log security events, and provide network protection.
  • Professional advisors: attorneys, accountants, and insurance providers, where reasonably necessary to advise IT-Charlotte.
  • Authorities and other parties: when we reasonably believe disclosure is required by law, subpoena, or court order, or is necessary to investigate or prevent fraud, abuse, or threats to security or rights.

In the event of a merger, acquisition, financing, sale of assets, or similar business transaction, information may be transferred to the successor or acquirer subject to commitments consistent with this policy.

5. Your Privacy Rights

Depending on where you live, U.S. state laws — including the California Consumer Privacy Act (CCPA/CPRA), the Virginia Consumer Data Protection Act (VCDPA), the Colorado Privacy Act (CPA), and similar laws — may give you the following rights:

  • The right to know what personal information we hold about you and how we use it.
  • The right to access a copy of that information.
  • The right to request correction of inaccurate information.
  • The right to request deletion of your information.
  • The right to opt out of the sale or sharing of your personal information (we do not engage in either).
  • The right to limit the use of sensitive personal information (we do not collect sensitive personal information through this Site).
  • The right not to be discriminated against for exercising these rights.

5.1 How to submit a request

You may submit a privacy request using either of the two methods below:

We will acknowledge your request promptly and respond within 45 days, with one possible 45-day extension where reasonably necessary, in accordance with applicable law. To protect your privacy, we may need to verify your identity before fulfilling certain requests. You may also use an authorized agent to submit a request on your behalf, subject to verification.

5.2 Right to appeal

If we decline a request, residents of states that provide an appeal right (including Virginia and Colorado) may appeal by replying to our written response, or by emailing [email protected] with the subject line "Privacy Appeal." We will respond within the time required by applicable law.

6. Data Retention

We retain personal information only as long as needed for the purposes described in this policy or as required by law:

  • Contact form leads: up to 24 months from the most recent interaction.
  • Estimate intents: up to 36 months from submission.
  • Cal.com scheduling records: for the active life of the engagement and a reasonable period thereafter.
  • Server logs and security records: typically retained for shorter periods set by operational and security needs, subject to longer retention where required for incident response or legal purposes.

We may retain limited information longer where necessary for legal, accounting, dispute-resolution, security, or fraud-prevention purposes.

7. Security

We use reasonable administrative, technical, and organizational safeguards to protect information collected through the Site, including:

  • TLS encryption for data in transit
  • Encryption at rest where supported by our systems and vendors
  • Access controls and least-privilege administrative access
  • Audit logging of sensitive operations
  • Regular review of vendor security posture

No website, transmission method, or storage system is completely secure, and we cannot guarantee absolute security.

8. Children's Privacy

The Site is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information to us, contact [email protected] and we will delete it.

9. Third-Party Links

The Site may link to third-party websites, including service-provider documentation and our scheduling provider. We are not responsible for the privacy practices of those third parties, and you should review their policies.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date. Material changes will be highlighted at the top of the page for a reasonable period after the update.
